The Escrow account not only allows the practice to make payments to invoices from the account, but it also allows for payments to outside parties or payees.
Building the Escrow Payee List
Begin by setting up the Escrow Payee List.
This is accessed by clicking on the Gears icon, then selecting EMR Settings, and then Escrow Payee List.
This screen presents your entire Escrow Payee List. You may add new Payees at any time. To add a new click the Page icon in the upper right hand corner.
Complete as much information as you would like to include for your Payee.
In this example, we are adding Progenesis, the genetic laboratory.
Click Save to add to the list.
To make any changes, click the Pencil icon.
To delete the Payee, click the Trash icon.
Building the From Escrow Fee Schedule
Use the From Escrow Fee Schedule to build in your standard list of fees you will pay to the Payees, listed in the Escrow Payee List.
Click on the Gears icon, then selecting EMR Settings, and then From Escrow Fee Schedule.
This screen presents your entire From Escrow Fee Schedule. You may add new fees at any time. To add a new fee click the Page icon in the upper right hand corner.
Fill in each field (for example see below).
In this example, we are adding PGS per embryo charge and the cost of $150.00.
Click Save to add to the list.
To make any changes, click the Pencil icon.
To delete the fee click the Trash icon.
Creating an Expense from the Escrow Account
To create an expense, or a From Escrow Payment to a Payee or someone outside the practice, go to the patient's Escrow account.

Click on the appropriate Escrow Item.

Select the From Escrow button.
1. Fill in the Date of Service.
Select the Payee.
Select the Location.
2. Under the Item column, use the pulldown menu to select the expense item. In this example we will use PGS per embryo. You may also directly type in a unique item that is not on the list if you choose.
3. Under the Escrow Procedure column, select the item listed. More items may be added if desired, the charges will populate automatically for each item.
4. Click Save to create the From Escrow item.
A pop-up box will appear indicating that the From Escrow Invoice was added successfully.
The From Escrow item has been added to the Escrow Item list.
Debiting from the Escrow to Pay a Payee
To debit the money from the patient's Escrow account to pay the Payee (Progenesis):

Click on the date of service of the From Escrow so it highlights purple.

When the details of the From Escrow item appear, click the Dollar Bill icon.
Click +Add New Record.
1. Enter the Date that the payment was made to the payee.
2. The Item field will autopopulate with Payment from Escrow.
3. Enter the payment amount. The Escrow balance will appear to the right for reference purposes.
4. Add how the payment will be issued to the payee.
5. Select the Location.
6. Click Save.
Click Close.
The money has been deducted from the patient’s escrow balance. The From Escrow item detail shows the Amount Paid to the payee.
